Administration Fees Policy
UKABCS programmes are co-funded. Most of the services provided to universities, students and researchers are donated in-kind to UKABCS by partner companies, or offered at subsidised prices. A small number of essential operating costs cannot be donated, and these are covered by a declared administration fee.
1. Why administration fees exist
Around three quarters of the providers UKABCS works with have already donated their services to the association. The remaining costs are essential operating costs that cannot be removed:
| Cost covered | Why it is needed |
|---|
| Hosting | Servers, storage and platforms that keep your project, tools and data available. |
| Technical team | The people who set up, run and support your programme. |
| Support | Help, coordination and troubleshooting during and after the programme. |
2. What participants receive in return
- Access to donated and subsidised services that would otherwise cost much more.
- Continued access to those services beyond the grant period, for the duration UKABCS specifies.
- A dedicated team working with the participant throughout the programme.
3. Transparency rules
- Every administration fee is declared in advance in the relevant grant call or agreement, in pounds sterling (£).
- Each call states what the fee covers.
- Fees are paid directly to the implementing company or provider under invoice, unless the call states otherwise.
- No undeclared fee may be charged by UKABCS or any partner.
- Fees are separate from the grant value and do not reduce the support awarded.
4. Waivers
Administration fees cover costs that cannot be donated and are therefore not normally waived. Any exception must be approved in writing by UKABCS and recorded in line with the Financial Governance Policy.
